DCHY PRIVACY POLICY
At Dublin City Bikram Yoga (DCBY) we respect your privacy and understand how important it is that your personal information remains secure. DCBY collects personal data of the students that are taking yoga classes at DCBY, in order to keep a file of its members, for the exercising of payment orders, and for the administration of issued classes passes and gift certificates. DCBY will also use the personal data as mentioned above to keep the students informed about DCBY notifications, schedule changes, advance notice of occasional sales and upcoming workshops and activities through a newsletter. DCBY shall be careful while collecting this data and will ensure to comply with the GDPR taking effect as of May 25th 2018.

1. What information does DCBY collect about me?

1.1) DCBY Registration Form
In order to take class we ask you to complete a registration form (either online or on paper) thats asks for the following information from you:

Name
Address
Date of birth
Phone number
Email address
Details of injuries or conditions that could be affected by Yoga
Contact details for someone we can get in touch with, in the event of an emergency

We need this information in order to;
a) communicate with you about your booking,
b) to keep the students informed about possible changes to the schedule at DCBY and
c) to inform students of extra activities and occasional sales that are happening in the studio via a monthly newsletter.

1.2) DCBY records the students class attendance and purchase history.

What if I want to change my communications preferences?
Every email message we send includes a link to opt out “unsubscribe” of receiving future emails.
You can also let us know of any changes to your communications preferences by emailing dcbyoga@gmail.com or writing to us.
If you opt out of receiving our communications at any point, we will record this request on our database. This will ensure that you do not receive any further communications from us, unless in relation to any existing bookings or activities.

2) Who at DCBY has access to my data?
The studio director and DCBY teachers have access to the booking information we store. While the studio owner has excess to all information (except credit card details) the teachers have limited access to student account history. In addition, from time to time we use IT Consultants who have access to our systems in order to provide us with the support we need.
We ensure that any third party we employ has a robust privacy policy and that appropriate compliance contracts are in place.
Our IT Consultants – are aware of the importance of confidentiality and your right to privacy.

3) How do we protect your payment information?
We use a secure server. All payment information is transmitted via MindBody technology and then encrypted when it’s sent to our payment provider’s database. This is stored securely and only used to make payments.

4) Do you ever share my information with third parties?
We will not at any time sell or exchange your information. We ensure that any third party we employ has a robust privacy policy and that appropriate compliance contracts are in place. The third parties that we currently use are:

5) How secure is the information I give you?
DCBY takes the care of your data seriously and undertakes to protect your personal information by putting in place appropriate physical, electronic, and managerial procedures to safeguard and secure the data we collect.
In today’s cyber environment it is unfortunately not possible to completely guarantee against loss, misuse or alteration of data, for example in the event of a successful cyber-attack. However, should this scenario arise, we have a robust data breach notification procedure in place and will contact you as soon as possible giving full details of any data that has been compromised.

6) How long do we keep your information for
We keep personal information for different lengths of time dependent on the purpose. For example, we do not remove membership records as lapsed members may wish to hear of future events. You can contact us at any time to ask us to see, amend or remove any of your personal information that we are holding.

7) The right to be forgotten
You have the right to be ‘forgotten’, which means that if you request us to, we will remove all the data that we hold on you from our systems. Complete removal of information from our systems will result in the loss of all historic data. If you decide to contact DCBY at a later date it may be necessary to ask you to provide information you previously gave us.If you have attended one of our activities (class, workshop, retreat, etc..) we are required to retain your details for seven years after participation has ceased. After this time we will securely delete or dispose of them.

8) How can I see what information you hold on me?
Under the Data Protection Act 1998 and the General Data Protection Regulation (which will be effective from May 2018) you can request a report detailing the information we hold about you. To obtain a report, please write to:

9) Cookies
